Purpose. Service advisors use this template to prepare a written quote for repairs beyond the booked work so that the customer can authorise or decline each item.
1.When to use this template
Prepare a quote whenever a technician identifies work that was not part of the original booking, when a customer asks for a price before booking, and when an inspection lists defects. The quote is attached to the repair order and the customer's response is recorded on it.
2.Preparing the quote
List each item separately with the reason it is needed, the parts by description and price, the labour time at the published rate and any sublet cost. Mark each item as safety related, required for the fault reported or recommended. Include the total including GST and the expected completion time.
3.Presenting the quote
Contact the customer by their preferred method, explain the safety items first and answer questions plainly. Record the time of the call, who you spoke to and which items were authorised or declined. Send the quote in writing where the customer asks for it or where the total exceeds 500 dollars.
4.Declined safety items
Where a customer declines a safety related item, record it on the quote and the invoice, and tell the customer in writing that the vehicle has an outstanding safety defect. Do not release a vehicle with a defect that makes it unsafe to drive without the Service Manager's approval.
5.Validity
Quotes are valid for 30 days. Parts prices are subject to supplier changes after that time and the quote must be refreshed before work proceeds.
