The situation

What has happened

Section D of the parts warehouse is due for its quarterly cycle count and the oil filter shelf has dropped below minimum for the second month running. At the same time a customer's vehicle is off the road on RO-26-4488 waiting for a back-ordered turbo actuator, and the service advisors have not had an update. The Parts and Accessories Manager wants the count done before the trade rush, variances over 200 dollars brought to him for approval, and the back order list worked through with clear communication to the service team. The Parts Ordering and Stock Control Procedure sets the counting rules, including counting the bin before looking at the system quantity.

Your brief. Count bins D-10 to D-20 accurately, record and explain variances, raise the stock order for items below minimum, update every back order with a supplier date, and inform the service advisors about the vehicle-off-road part so the customer can be updated.

What to look for

Evidence guide

Evidence should show the bin counted before the system quantity was viewed, variances explained rather than simply adjusted, approval sought where the procedure requires it, back orders updated with real supplier dates, and clear communication to the service team about the vehicle-off-road part. Check the safety data sheet step was not skipped.
